Marketing, Events & Volunteer Coordinator

This position will be responsible for planning, overseeing and coordinate execution of all TARC events. Work closely with volunteers, building relationships and creating a positive community of advocates. Assist with overall marketing to further TARC’s mission of providing service, support and advocacy for persons with intellectual and developmental disabilities.

Job requirements include:

  • Bachelor’s degree or requisite experience in Events and/or Volunteer Coordination, Public Relations and /or Marketing, Mass Media or related Field
  • Excellent interpersonal skills, especially in dealing with diverse populations.
  • Exceptional communication and organizational skills and attention to detail
  • Experience with managing working committees and volunteers preferred.
  • Experience with fundraising and/or event organization preferred.
  • Ability to document processes and procedures.
  • Proficiency in Microsoft applications (Word, Excel, Outlook, Teams)
  • Accurate in all phases of fiscal and records management.
  • Social media management and/or graphic design (experience with Adobe Creative Suite, InDesign, and/or Canva) preferred.
  • Ability to multi-task and work under pressure.

TARC, Inc. conducts background screenings and post-offer pre-employment drug testing.

Must have and maintain a Valid Kansas Driver’s License and driving record that meets insurability requirements as defined by the Company’s insurance carrier

  • JOB OBJECTIVE: Oversee and coordinate execution of all TARC events. Work closely with volunteers, building relationships and creating a positive community of advocates. Assist with overall marketing to further TARC’s mission of providing service, support and advocacy for persons with intellectual and developmental disabilities.
  • RESPONSIBILITIES:

    I. EVENTS

    1. Plan, organize and coordinate logistics required for pre-event activities, events and post event duties. E.g. Winter Wonderland and Annual Benefit Golf Tournament.
      1. Conceptualize event(s).
      2. Plan event logistics with all timelines and responsibilities identified prior to the opening of the event.
      3. Oversee committee meetings related to special events.
      4. Assist with the planning and implementation of event promotion.
      5. Maintain comprehensive documentation of all materials and activities related to the successful implementation of TARC’s Special Events and generate needed reports.
      6. Complete all follow-up activities related to the event, including sponsor recognition.
    2. Support TARC’s Employee Engagement committee with Annual Awards and other events
    3. Promote and develop media announcements for special events and activities within TARC’s programs and services.
      1. Meet with Division Directors to determine the list of events and activities to be promoted.
    4. Manage Development database to ensure accurate records of all donations are kept,

    prepare correspondence for donations and prepare reports as needed.

     

    II. VOLUNTEERS

    1. Responsible for recruitment, screening, training, coordination, and recognition of volunteers for Special Events and Programs.
      1. Develop and maintain a database of volunteers.
      2. Provide directions to volunteers of duties and expectations, volunteering onsite and at special events.
      3. Coordinate approximately 400 volunteers for special events annually.
    2. Facilitate and oversee volunteer events, e.g. United Way’s Nancy Perry Day of Caring.
    3. Regularly updated volunteer opportunities on external volunteer listing sites, including United Way’s volunteer database.

     

    III. MARKETING

    1. Assist with the overall marketing of TARC.
    2. Create, develop and manage content for organization’s social media and web presence.
    3. Collaborate with Development Director on the design, production and distribution of printed materials for donor/sponsor/and participant’s solicitations, including but not limited to:
      1. TARC Annual Report
      2. TARC Annual Campaign
      3. TARC Newsletter
    4. Assist Development Director with preparation and distribution of organizational news releases, be available to provide presentations on TARC and its’ programs and services, as well as tours as needed.
    5. Assist the Development Director with keeping TARC’s website information current and reflective of TARC’s mission, services and opportunities.
    6. Ensure all TARC activities are publicized on local and regional calendars through all media markets (TV, radio, and print).
    7. Assist with community awareness training through speaking engagements, vendor and informational fairs and public forums for special events and volunteers.
    8. Represent TARC by actively participating in community organizations that focus on promoting, collaborating and enhancing area events and community activities.

     

    IV. OTHER DUTIES AS ASSIGNED
Qualifications & Requirements​
  • EDUCATION: Bachelor’s degree or requisite experience in Events and/or Volunteer Coordination, Public Relations and/or Marketing, Mass Media or related field.
  • TRAINING REQUIREMENTS: As outlines in TARC Policy 03-014 Staff Development
  • WORKING CONDITIONS AND PHYSICAL EFFORT: • Work is normally performed in the community with community business personnel, at event locations, with community partners and in a typical interior/office environment. • Routine event responsibilities include frequent physical intervention (i.e. assisted or unassisted lifting) • Must be able to lift up to 40 lbs. unassisted
  • OTHER REQUIREMENTS: A. Must have and maintain a valid Kansas driver’s license. B. Maintain eligibility for TARC’s standard insurance policy. C. Must be available evenings and/or weekends to meet event demands. D. Understanding of and commitment to TARC’s mission. E. Ability to fulfill the job description requirements in a timely and effective manner. F. Ability to keep current with trends in event strategy and bring energy, creativity and community relations expertise to make a substantial impact on TARC events. G. Must be a team player and can work with diverse groups of individuals, work in a team environment and be a self-starter.
